Legal Operations Analyst
The Legal Operations Analyst acts as a key (super) user of the legal services systems (global contract database, legal and CCM intake tools, NetDocuments, Passport, Zapproved, Adobe Sign).You will maintain relationships with all stakeholders – legal and contracts colleagues, management, business partners and vendors.
You will be responsible for Legal In-box monitoring (correspondence with “customers” of the Legal Services America team). You will extract and analyze data from various systems to support department processes and decision-making and assist in managing processes and identifying areas of opportunity to help improve organization and efficiency.You will assists in managing special projects on an as needed basis for the Legal Services Americas team and/or legal counsel.
Your qualifications must include: A Bachelors Degree is preferred; High School degree required; Basic familiarity with accounting and 1-3 years of general business experience; and Advanced Excel; Word; PowerPoint; Outlook; SharePoint; Oracle ERP; Adobe Sign.Additional responsibilities include:
Key (super) user of legal systems:
·Maintains a key (super) user knowledge of the legal services systems; through practice and attending training as needed.
·Assists the Legal Operations Manager with maintaining an inventory of standard and custom reports, which includes timing and distribution information on a department, region and global distribution level to influence leaders and decision makers.
·Oversight of data creation and updates in various legal and contracts system.Helps troubleshoots system issues as needed.
Maintains relationships with all stakeholders – legal and contracts colleagues, management, business partners, law firms and vendors:
- Assists with legal escalations including responding to inquiries from internal business stakeholders regarding legal guidelines, policy inquiries, or contract-specific questions.
·Create, maintain, and enhance strong external relationships across various areas of the team, sometimes including vendors, outside counsel, etc.
·Communicates and manages actions needed from external counsel including timekeeper approvals, budgets, invoicing and settlement payments, and coordinate, execute and continuously improve the law firm performance assessment, payment and reporting processes.
Legal In-box monitoring:
·Screens departmental inquiries received through department shared email accounts.
·Provides information requiring detailed knowledge of the Legal Services America’s team members area of responsibility and general knowledge of company policies, practices and operations in an expeditious and courteous manner.Requires continuous use of technical and business vocabulary.
Extracts and analyzes data from various systems to support department processes and decision-making:
·Monthly department reporting on items such as legal accruals/fees, contract renewals, contract life cycle KPIs, data integrity in systems, etc.
·Quarterly reporting for auditors.
·Other legal services related reporting as necessary.Assists in preparing monthly and quarterly management presentations.
Organization and efficiency:
·Assists in developing effective and thoughtful solutions to make operations more efficient within the team and cross-functionally.
·Leverages technology as a way to solve problems.
·Helps create, update and maintain process and procedure documentation.Assists in creating and maintaining high-quality presentations and trainings related to department systems and processes.
Assists in managing special projects on an as needed basis for the Legal Services Americas team and/or legal counsel:
·Ability to assists with data collection for legal matters – using knowledge from various systems to query and sort the data.
·Primary resource for providing ad hoc or project based legal services support.
·Assist in coordination of team meetings and department functions.
