We are currently seeking an Administration/Compliance Executive to join DHL eCommerce Solutions based in Puchong, Malaysia!

The Administration/Compliance Executive will be responsible in the execution of risk management, support deployment of compliance program across the organization, ensure that the organization’s compliance programs and the Company programs and the Company’s policies and procedures are adhered to, across all functions, and the compliance issues are addressed in fair, transparent and timely manner. He/ She is also expected to support procurement processes and other general administrative areas.

Essential Duties and Responsibilities

  • To support execution of the Risk Assessment for the country.

  • Responsible in conducting compliance reporting on Supplier Code of Conduct, Compliance related to Gift and Hospitality, Due Diligence (Quarterly/ half-yearly/ yearly) using internal tools.

  • Submit supporting documents and assessment for financial control audits related to Compliance, Procurement & Promise-to-pay.

  • Drive Compliance awareness in the country using internal communication tools (including roadshows) and ensure effective reach.

  • Work closely with HR to ensure Core Compliance trainings are completed including renewals.

  • Perform reconciliation of employee claims against Hospitality Register

  • Conduct Trainings related to Due Diligence, Supplier Code of Conduct and Contract Management

  • To maintain vendor contracts (and supporting documents) in Ishare for Contract Management and ensuring timely reminders to stakeholders for renewals.

  • To check and review documents related to Due Diligence, Supplier Code of Conductfor non-Centralized Procurement Vendors.

  • To maintain minutes of meeting with competitors in local Ishare.

  • Develop and carry out an efficient documentation and filing system for both paper and electronic record.

  • Arrange executive travel, hotel and dining arrangements as needed.

  • Provide administrative support to team(s) as may be required including closure of Country Procurement Good Receivables

Desired Skills / Qualifications

  • Diploma/Bachelor degree in Business Management or any related discipline

  • Minimum 2 years’ experience in administration or related function

  • Knowledge of office management systems and procedures.

  • Basic book keeping.

  • Exemplary planning and time management skills.

  • Excellent communication skills (written and verbal).

  • Software skills (Word, Excel, PowerPoint, etc.)
