Job Purpose:
The post-holder will be responsible for providing a high standard of administrative and secretarial/PA support to the NHS Legal Services team in Leeds and the wider DSC legal team in Milton Keynes.
The right candidate should have a strong administrative background with experience of supporting senior managers, be highly motivated, able to multitask with an excellent working knowledge of MS Outlook, Word, Excel and PowerPoint. In addition, enjoy working as a member of a team providing cross cover when required showing a high level of adaptability and a flexible approach to work. The successful candidate will enjoy a degree of autonomy but will refer to the NHS Legal Services Team for guidance when required and will know when to ask for advice.
Candidates with demonstrable experience of working as a PA within a large complex organisation would be well suited to the role.

The job can be based in Leeds or Milton Keynes.

Your tasks will be:
Fulfilling a “gatekeeper” and “gateway” role for the Head of Legal and all members of the Legal Team to drive efficiencies within the team.
Diary management using own initiative including proactively coordinating and arranging meetings.
Managing mailbox on behalf of Head of Legal
Responding to queries on behalf of the team. 
Management of the Legal Team budget alongside the Head of Legal, raising PO Numbers and processing invoices.
Record and update external legal spend, liaising with the finance department and other key stakeholders
Manage expenses and generate administrative purchase orders
Organising Travel and Accommodation arrangements
Preparation of presentations, training material and communications on behalf of the team.
Office management duties including ordering IT equipment, stationery, maintaining sickness/absence and holiday spreadsheets.
Manage the governance process such as archiving of legal documentation and assisting in compliant CPD recording requirements
Liaise with the IT Helpdesk regarding problems on behalf of the team.   
Organisation of team events and support organisation of UK&I Legal Team events
Work closely with other PA's in the Legal Department providing cross cover as/when required
Develop and maintain relationships with key internal and external stakeholders.
Liaise and build relationships with other PA’s within the Supply Chain business to share ways of working.
Undertake project management tasks on an ahdoc basis

Your profile should look like:
Highly organised, flexible, & with exceptional organisational skills
High level of written and typing skills, as well as significant experience of working with MS Word, Excel and Powerpoint
Must be able use and demonstrate initiative, should also be discrete, and pro-active
Ability to work under time pressures, and managing time and priorities efficiently
Be able to liase with different stakeholders, both internally and externally
At least 3 years experience of operating in a similar role, or one where transferable skills can be demonstrated
Previous experience in a Legal office environment would be an advantage (but not essential)
Good level of education, especially written and spoken English
Relevant secretarial and/or administrative qualifications would be helpful
